Brand voice3 min readAugust 12, 2026

Your brand voice is already there. Start listening to it.

You do not need to invent a personality for your business. It is in the emails you already send. Here is how to find it and keep it.

Start with something you actually said

The last time a customer asked what makes your work different, you gave a better answer than any brand document ever will. You named a detail. You explained a choice. You told a two-sentence story about a job that went sideways and how you fixed it.

That answer is your voice. Not the adjectives on a mood board, but the sentences you say when nobody is grading you. Go and find three of them: an email to a customer, a reply to a review, a message to a supplier. Paste them into one note. That note is worth more than a style guide.

Look for habits, not adjectives

Friendly, honest and professional describe every business on earth. Habits are what make a voice recognisable. Do you write short sentences? Do you name materials, or talk about how something feels to use? Do you joke, and how dry is the joke?

Read your three examples aloud and mark what repeats. Then write down three habits to keep. A joiner might land on: use everyday words, name one specific detail, talk to one person at a time. Three is enough. Ten becomes a document nobody opens.

Keep a short list of things you would never say

Knowing what sounds wrong is half of knowing what sounds right. Maybe you would never call anything revolutionary. Maybe exclamation marks make you feel like you are shouting in your own shop. Write those down too, and next to each one put the line you would say instead.

“Elevate your everyday experience” becomes “A bit more room for your morning coffee.” The second line gives someone a picture. It could also only have come from a furniture maker, which is the whole point.

Use it as the last read, not the first

Do not try to write in your voice from the first word. Write the thing, then read it back with one question: would I say this to a customer standing in front of me? Where the answer is no, say the thought out loud and write down what came out.

A voice you can use on an ordinary Tuesday is worth more than a perfect one you cannot. Keep the note close, add a line whenever you write a good one, and let it grow with the business. That is all a brand voice is: your best sentences, remembered.
